Our project process includes site inspections, implementation plan development, on-site event management, and post-event wrap-up.

Site Inspection

Before your conference, we visit your venue and inspect the premises. Your assigned project manager reviews the site to ensure everything is in place and to determine any special arrangements that may be necessary for your particular venue. Among many things, during this site inspection we:

  1. check sound equipment and projection levels
  2. establish a non-obtrusive interpreter location
  3. check power requirements
  4. verify room layout
  5. collect event schedules and agendas.

Implementation Plan Development

Once we have your site details and agenda, your project manager prepares an implementation plan, assigning individual interpreters to specific teams by language pair, identifying necessary equipment, and arranging testing dates and times. We also assign team leaders, responsible for the specific interpretation operations during your event.

On-site Event Management

Lighthouse Translations maintains constant contact with conference organizers throughout the planning and execution process. We stay on top of any last minute changes or updates affecting planned schedules, making necessary adjustments as needed. Depending on the complexity and scope of your project, a mobile office is established at the conference site to facilitate activities, last minute presentations, handouts, email communications, or additional services. This facility supports the work of our interpreters and helps them operate as efficiently as possible. Lighthouse Translations also supports translations of event materials, including conference hand-outs and agendas.

Post-Event Wrap-Up

After the event, your project manager handles the strike quickly and efficiently.

To continually improve client services, we give you an optional post-event survey, encouraging your honest feedback. Lighthouse Translations extracts lessons from each survey and is committed to ongoing improvement.
